Visual step-by-step guide for Team Country Admins

Before you begin — have these ready for each athlete
  • Valid passport or travel document (clear scan/photo, JPG or PNG)
  • Recent passport-style photograph (white background, JPG/PNG, max 2 MB)
  • Athlete's full name, date of birth, gender, nationality, and passport number
  • Event discipline(s) the athlete will compete in (e.g. 100m, Long Jump)
  • Emergency contact details (name and phone number)
  • All uploads must be PDF, JPG or PNG — under 5 MB each

Sign in to the portal

Navigate to fasigms.africa and click “Apply for Accreditation”. You will be redirected to the login screen — sign in with your Org Admin credentials.

What to do
  1. Go to fasigms.africa and click “Apply for Accreditation”.
  2. Enter your Org Admin email and password.
  3. Click “Sign In”. You will be taken to the portal dashboard.

Navigate to New Application

Once signed in, click “Applications” in the left sidebar, then click the “+ New Application” button to start a new athlete accreditation.

Select Accreditation Category

Choose the “Athletes” category card. Other categories (Team Officials, VIP/Guests) will also be visible but should not be selected for athlete applications.

What to do

Enter the athlete's personal information

Fill in the athlete's details exactly as they appear on their travel document. All required fields are marked with *. You will also need to upload a passport-style photograph and select event discipline(s).

What to do
  1. Upload the athlete's passport photo — click the upload area and select a passport-style photo (white background, frontal face).
  2. Fill in all fields marked with * — first name, last name, date of birth, gender, nationality, and passport number.
  3. Select the athlete's event discipline(s) by ticking the appropriate checkboxes (e.g. 100m, 200m, Long Jump).
  4. Enter the athlete's email address and phone number.
  5. Provide an emergency contact name and phone number.
  6. Click “Continue” when all required fields are complete.

Upload documents

Upload clear scans or photos of the required documents. Files must be PDF, JPG, or PNG and under 5 MB each. Two documents are required; three are optional.

What to do
  1. Click “Upload” next to each document to select the file from your device.
  2. Upload the two requireddocuments: the athlete's passport/ID scan and passport-style photograph.
  3. Optional documents (letter of authorisation, medical certificate, liability waiver) can be uploaded now or provided later.
  4. Once uploaded, each item will show a green checkmark and a “Change” button to replace the file.
  5. Click “Review Application” to proceed to the final step.
Document requirements
  • Valid Passport / Travel Document — Required. Clear, legible scan of the bio-data page.
  • Passport-style photograph — Required. White background, frontal face, recent.
  • Letter of authorisation — Optional. On official federation letterhead.
  • Medical certificate — Optional. Fitness-to-compete clearance from a licensed physician.
  • Liability waiver — Optional. Signed code of conduct / waiver of liability.

Review & submit

Carefully review all the athlete's information. If anything is incorrect, click 'Back' to make corrections before submitting.
What to do
  1. Carefully review all information — category, personal details, and uploaded documents.
  2. If anything is wrong, click “Back” to return and correct it.
  3. Read the declaration statement carefully.
  4. Tick the checkbox to confirm the information is accurate.
  5. Click “Submit application”.
  6. You will see a confirmation with a reference number (e.g. ACC-2026-XXXXX). Save this number!

After submission

Your application enters the review queue. Both the athlete and the Org Admin will receive email updates as the status changes.
What happens next
  1. GAA Review: The Ghana Athletics Association reviews the application.
  2. LOC Review: The Local Organising Committee performs a secondary review.
  3. Notifications: The athlete and Org Admin receive email updates at each stage.
  4. Badge production:Once approved, the athlete's badge is produced with their photo, category colour, zone access, and QR code.
  5. Collection:The athlete collects their badge from the Accreditation Centre at the venue with their original ID and reference number.

Application statuses

PENDINGApplication submitted and awaiting review.
APPROVEDApplication approved — the badge will be produced.
REJECTEDApplication rejected. Review the reason and consider re-applying.
RETURNEDApplication returned for corrections. Update the required fields and re-submit.

As an Org Admin, you can track all submitted applications from the Applications page in the portal. Each application shows its current status (Pending, Approved, Rejected or Returned).

Important notes for Team Country Admins
  • Athlete accreditation applications must be submitted by the Team Country Admin (Org Admin) — athletes cannot apply directly.
  • Ensure all information matches the athlete's passport or travel document exactly — discrepancies will delay approval.
  • You can submit multiple applications for different athletes from the same Org Admin account.
  • Returned applications can be edited and re-submitted from the Applications page.
  • Providing false information may result in revocation of accreditation for the athlete and sanctions for the federation.
  • All accreditation decisions are final.
